Google Sheets vs QuickBooks for a small business

By Sergio, accountant and founder of BizCells · Updated November 7, 2026

For a freelancer or a small business with simple finances, Google Sheets is usually enough and costs far less. QuickBooks becomes worth its monthly fee when you need bank feeds that reconcile automatically, payroll, inventory, or an accountant who works inside it. Here's how to decide.

What each one costs

Google Sheets is free. QuickBooks Online raised its US prices in August 2026; as of November 2026 the monthly list prices are:

PlanPrice per monthUsers includedCost per year
Simple Start$381$456
Essentials$853$1,020
Plus$1405$1,680
Advanced$34025$4,080

Payroll and payments are extra. Intuit often runs discounts for the first months, so check its pricing page for today's offer. Sources: Audit Friendly, NerdWallet.

Even the cheapest plan costs over $1,800 across four years. For a business with 30 transactions a month, that's a lot to pay for features it doesn't use.

When Google Sheets is enough

In that case a well-built spreadsheet gives you clearer answers than accounting software, because it shows exactly what you need and nothing else. The basics are an expense log, a profit and loss statement and a 13-week cash flow forecast.

When it's time to move to QuickBooks

Starting in Sheets and switching later

Starting with a spreadsheet doesn't lock you in. If you keep one row per transaction with a date, category and amount, you can import that history into QuickBooks or any other software as a CSV. Many businesses run happily on a spreadsheet for years and only switch when one of the signs above appears.

A spreadsheet that's already built

Business Manager is a Google Sheets template with a dashboard, transactions, invoices, 13-week cash flow, profit & loss, budget and tax reserve. One payment of $19, no subscription, and the file lives in your own Drive.
